Guidelines for Oral Presenters
  • The duration of an oral communication is 10min + 5 min for questions/answers from the floor.
    For the good organization of the session, no overtime will be accepted.
    Please check in advance that your presentation does not exceed the time limit.
  • PowerPoint slides should be prepared in landscape 16/9 format.

Please come with a USB stick to upload your presentation during the break before your scheduled time.

It will not be possible to display the presentation directly from your own laptop in the meeting rooms.

You must arrive 15 minutes before your session to « check-in » with the chairman of the session.

Guidelines for Poster Presenters
  • You are in charge of printing your poster in A0 landscape format (1.19m x 0.84m).
  • You must display your poster as soon as you arrive.
  • The boards are made of cork, and we recommend using pins, available on site.
    Make sure your documents are not too heavy and avoid laminated plastic or cardboard-backed sheets.
  • The title of your poster must appear at the top, in 25mm-high capital letters. Make sure that the authors and their corresponding organisations are clearly visible.

Authors are invited to submit their abstract from this website.
To submit an abstract, we invite you to use the « Abstract submission » button, and to respect the guidelines and the template for the document layout you will find below.
Authors will have to specify if they wish to present an oral communication or a poster. Abstracts will then be reviewed and selected by the scientific committee members, and the organizing committee. The selected candidates for both posters and oral communications will be notified by the Conference Secretariat.

If you want to submit multiple papers, you only need to create ONE web account. Please use the same account (personal access code) for any additional submission.
To ensure that your abstract is maintained in the programme, you must register online and pay your registration. Deadline for such registration will be defined later.
All submissions (PDF format) must be made online from the website. Abstracts sent by email will not be accepted.

Abstract Guidelines
  • Abstract must be in English, and should not exceed one-page A4 format (portrait)
  • Margins: 25mm each side
  • Text: Left and right justified, Interline 1.5 line, Times, size 10
  • Title: Times, bold, capital letters, size 14, centered
  • Name of the authors: Times, size 10, centered, presenting author underlined
  • Authors address/affiliation: Times, size 9, centered, italics; each affiliation in a new paragraph
  • Bibliographical references are not mandatory
  • The PDF file size must not exceed 3 Mb

You must carefully follow the template below. Any abstract which does not comply with this template will not be accepted.

Specifications for the Electronic File Format

The abstract MUST be submitted as a PDF-file Scanned PDF-files are not allowed.

Files must be created using a PDF-distiller, all fonts must be embedded. The file may neither contain any form of security, nor bookmarks, links or multiple files in a single PDF file.

The following cancellation fees will apply:

  • Until 15th July 2025: 50% refund minus 30€ administrative costs.
  • From 16th July 2025: No refund. Fees will be aquired by ESBRA.

Access

Arrival at Brussels-Midi station (TGV, Thalys and Eurostar)

Take the metro:

  • Line 2 or 6, direction Simonis (Elisabeth)
  • change at Arts-Loi station and take line 1, direction Stockel;
  • get off at Alma metro station, which is in the heart of the university campus.

Arrival at Brussels-Schuman station (all national trains coming from Namur and Luxemburg) or Brussels-Central station (all international trains except TGV, Thalys and Eurostar)

Choose your line

Brussels (Zaventem) Airport is close to the congress (7km) and access by taxi is easy. 

For public transportation, from 5:30 am to 11:45 pm, seven days a week, four trains per hour depart Brussels Airport for Brussels Central train station (avoid going to Leuven or Landen). From there, take metro line 1, direction Stockel, to Alma metro station, in the heart of the university campus.

Brussels South Charleroi Airport is served by low-cost airlines. It is located 55 km from the UCLouvain Brussels Woluwe campus. Airport shuttles link the airport to the centre of Brussels.

  • The A bus runs from the airport to Charleroi South train station in 10 minutes.
  • Two trains per hour (one per hour on weekends) depart for Brussels.
Accommodation

Brussels offers a wide choice of accommodation.
You can choose to stay in the city center or close to the conference venue.
